Purchase Ledger Clerk | Dover | DOE
I am exclusively working with a client who is seeking an accurate, organised Purchase Ledger Clerk to join a busy finance team. You will provide timely purchase-ledger support, making sure supplier invoices, payments and reconciliations are processed in line with company controls and that your records support reliable month-end reporting. The business is also moving to a new ERP system, so you will have the chance to play a hands-on part in the transition.
Key Responsibilities
· Invoice Processing: Process purchase invoices and credit notes accurately, matching them to purchase orders, goods receipts and the relevant approval authorities.
· Query Resolution: Resolve invoice discrepancies, blocked invoices and ordering issues promptly with suppliers, Purchasing and other internal departments.
· Purchase Order Monitoring: Maintain purchase-order systems and order books, investigating old orders and anomalies as required.
· Supplier Reconciliations: Reconcile supplier statements regularly and resolve outstanding invoices, returns, credits and payment queries in a timely manner.
· Payment Runs: Prepare supplier payment runs and other approved payments, including overseas transfers, for review and authorisation.
· Supplier Master Data: Maintain accurate supplier records and supporting documentation in line with company controls.
· Credit Card Ledger: Administer and process the company credit-card ledger and related supporting documentation.
· Month-End: Reconcile the Purchase Ledger control account to the General Ledger and support purchase-order invoice accruals and reporting.
· ERP Transition: Support the move to a new ERP system, including data validation, process testing, user acceptance testing and implementation activities.
· Process Improvement: Help document revised finance processes and resolve transactional issues during stabilisation.
· Team Support: Provide flexible support across the finance team and undertake other reasonable duties as required.
The Ideal Candidate
Experience in purchase ledger, accounts payable or similar transactional finance work, including invoice processing, supplier reconciliations and payment runs. Experience supporting an ERP implementation would be advantageous. You will have strong numerical skills, confidence with Excel and finance systems, and a good grasp of purchase-ledger processes and basic accounting principles. You will be accurate, organised and able to investigate and resolve queries while meeting payment and month-end deadlines. A positive, accountable and flexible team player, you will communicate well and be committed to continuous improvement.
